Tailor Made Trip is a premium bespoke travel company specializing in customized holidays, luxury adventures, trekking, cultural journeys, helicopter tours, private tours, and tailor-made travel experiences in Nepal and selected destinations.
All travel arrangements are designed based on the client’s preferences, travel dates, group size, budget, comfort level, and special requirements.
2. Acceptance of Terms
By using this website or booking any service with Tailor Made Trip, you confirm that:
You are legally capable of entering into a binding agreement.
You have read, understood, and accepted these Terms and Conditions.
You agree to provide accurate and complete information during inquiry, booking, and payment.
You accept responsibility for all travelers included in your booking.

3. Travel Information and Website Content

However, travel details, prices, itineraries, accommodation, routes, permits, transportation, and availability may change due to season, weather, government regulations, local conditions, supplier policies, or operational reasons.
The content on our website is provided for general information and inspiration. Final trip details will be confirmed through written communication, official quotation, invoice, or booking confirmation.
4. Customized Itineraries
Since Tailor Made Trip provides bespoke travel services, itineraries are created based on individual preferences and requirements. The final itinerary may vary depending on:
Travel season
Weather and mountain conditions
Flight availability
Hotel and lodge availability
Road conditions
Permit regulations
Client interests and comfort level
Safety considerations
Local operational limitations
We reserve the right to suggest changes to the itinerary when necessary for safety, comfort, or smooth operation.
5. Booking Confirmation
A booking is considered confirmed only after:
The client accepts the proposed itinerary and quotation.
The required deposit or full payment is received.
Tailor Made Trip issues written confirmation by email or official communication.
Until the required payment is received, services, prices, rooms, guides, transport, domestic flights, helicopter seats, and other arrangements are subject to availability.
6. Payment Terms
Unless otherwise stated in writing, a deposit is required to confirm the booking. The remaining balance must be paid before the trip starts or as agreed in the official invoice or booking confirmation.
Payments may be made by bank transfer, card payment, online payment link, or other accepted payment methods. Any bank charges, card processing fees, currency conversion fees, or international transfer charges are the responsibility of the client.
7. Pricing and Currency
All prices are quoted in the agreed currency, usually USD or NPR, unless otherwise mentioned. Prices may vary depending on group size, travel dates, accommodation category, service level, exchange rate changes, supplier costs, domestic airfares, permit fees, fuel costs, government taxes, or other external factors.
Once a booking is confirmed and deposit is received, we will make reasonable efforts to maintain the agreed price. However, additional costs may apply if the client requests changes, upgrades, extra services, route modifications, private arrangements, emergency assistance, or changes caused by circumstances beyond our control.
8. Cancellation by the Client
If the client wishes to cancel a confirmed trip, written cancellation notice must be sent to Tailor Made Trip by email.
Unless otherwise stated in the official booking agreement, the following cancellation policy may apply:
Cancellation 90 days or more before departure: refund available after deducting administrative and transaction costs.
Cancellation 89 to 50 days before departure: up to 30% of the trip cost may be deducted.
Cancellation 49 to 20 days before departure: up to 50% of the trip cost may be deducted.
Cancellation less than 20 days before departure: up to 75% of the trip cost may be deducted.
Cancellation on or after the trip start date: no refund will be provided.
Certain services may be non-refundable, including but not limited to domestic flights, helicopter services, special permits, luxury hotels, confirmed third-party bookings, government fees, and supplier deposits.
Refunds, where applicable, may take up to 20 business days after approval. Bank charges, payment gateway fees, and card processing fees are non-refundable.
9. Postponement and Credit
Where possible, Tailor Made Trip may allow clients to postpone their trip instead of cancelling. Postponement is subject to supplier policies, availability, price changes, permit rules, and operational feasibility.
In some cases, paid amounts may be converted into travel credit for future use. The validity, transferability, and conditions of such credit will be confirmed in writing.
10. Cancellation by Tailor Made Trip
Tailor Made Trip reserves the right to cancel or modify any trip due to circumstances beyond our control, including but not limited to:
Natural disasters
Extreme weather
Political unrest
Road blockage
Flight cancellation
Health or safety risks
Government restrictions
Permit issues
Supplier failure
Force majeure events
If we cancel a trip before departure, we may offer an alternative trip, new travel date, travel credit, or refund depending on the situation and supplier policies. We are not responsible for additional expenses such as international flights, visa fees, insurance costs, personal equipment, accommodation outside the package, or other expenses not included in the confirmed package.
11. Changes to Itinerary
Travel in Nepal and the Himalayas may involve unexpected changes. Domestic flights, helicopter tours, trekking routes, road travel, accommodation, and activities may be affected by weather, altitude, landslides, strikes, road conditions, local rules, or safety concerns.
Tailor Made Trip reserves the right to adjust the itinerary when required. Any additional cost caused by delays, route changes, extra nights, evacuation, private transfers, rebooking, or client-requested changes must be paid by the client.
12. Domestic Flights and Helicopter Services
Domestic flights and helicopter services in Nepal are highly dependent on weather, visibility, aircraft availability, air traffic, and aviation authority approval.
Flight delays, diversions, cancellations, or changes are possible, especially in mountain regions. Tailor Made Trip will assist with alternative arrangements where possible, but we are not responsible for delays or losses caused by airline or helicopter operator decisions.
Clients are strongly advised to keep buffer days before international departure.
13. Travel Insurance
Travel insurance is mandatory for adventure trips, trekking, helicopter tours, high-altitude travel, and remote area travel.
Insurance should cover:
Trip cancellation
Medical expenses
Emergency evacuation
Helicopter rescue where applicable
High-altitude trekking where applicable
Baggage loss or delay
Flight delays or cancellation
Personal accident and liability
Clients are responsible for ensuring that their insurance policy covers the full trip, including altitude, activities, and destinations included in the itinerary.
14. Health, Fitness, and Safety
Clients are responsible for assessing their own health and fitness before joining any trip. Trekking, adventure travel, helicopter tours, and remote journeys may involve physical challenges, altitude, changing weather, basic facilities, and limited access to medical care.
Clients must inform Tailor Made Trip in advance about any medical condition, allergy, disability, dietary restriction, medication, or special requirement that may affect the trip.
Tailor Made Trip, guides, and local representatives reserve the right to refuse participation or modify activities if a client’s health, behavior, or fitness level creates risk for themselves or others.
15. Altitude and Adventure Travel Risks
Travel in mountain regions involves inherent risks, including altitude sickness, weather changes, trail conditions, flight delays, landslides, avalanches, illness, injury, and limited infrastructure.
By booking an adventure or mountain trip, clients acknowledge and accept these risks. Tailor Made Trip will take reasonable steps to support safety, but we cannot eliminate all risks associated with adventure travel.
16. Passports, Visas, and Permits
Clients are responsible for holding a valid passport, visa, travel documents, and necessary permits unless specifically included in the package.
Passport validity, visa requirements, entry rules, vaccination requirements, and travel restrictions are the client’s responsibility. Tailor Made Trip may provide guidance, but final responsibility remains with the traveler.
17. Accommodation and Service Standards
Accommodation standards vary by destination, region, altitude, and availability. Luxury hotels may be available in cities and selected destinations, while mountain lodges, teahouses, and remote accommodations may be basic.
We will make reasonable efforts to provide the agreed category of accommodation. However, room type, view, bedding, bathroom facilities, heating, electricity, Wi-Fi, and other amenities may vary based on local conditions.
18. Meals and Dietary Requirements
Meals included in the package will be clearly mentioned in the itinerary or quotation. Any meals, drinks, snacks, bottled water, alcoholic beverages, desserts, or personal orders not mentioned as included will be at the client’s own expense.
Clients should inform us in advance about vegetarian, vegan, gluten-free, allergy-related, religious, or medical dietary requirements. We will try our best to arrange suitable meals, but availability may be limited in remote areas.
19. Client Responsibilities
Clients are expected to:
Follow local laws, customs, and regulations.
Respect guides, staff, local communities, nature, and cultural sites.
Follow safety instructions given by guides or company representatives.
Arrive on time for flights, transfers, activities, and briefings.
Carry appropriate clothing, gear, documents, medication, and insurance.
Avoid behavior that may endanger themselves, the group, staff, or local people.
Tailor Made Trip reserves the right to remove a client from a trip if their behavior is unsafe, illegal, abusive, disruptive, or harmful. No refund will be provided in such cases.
20. Third-Party Suppliers
Tailor Made Trip works with hotels, airlines, helicopter companies, transport providers, guides, porters, restaurants, activity providers, and other third-party suppliers.
While we carefully select our partners, we are not directly responsible for acts, omissions, delays, accidents, service failures, or policy changes caused by third-party suppliers. Our responsibility is limited to making reasonable efforts to coordinate and assist.
21. Complaints and Feedback
If a client has any issue during the trip, they should immediately inform the guide, trip leader, or Tailor Made Trip representative so that we can try to resolve the matter as soon as possible.
Complaints submitted after the trip must be sent in writing within 15 days of trip completion. We will review the matter fairly and respond within a reasonable time.
22. Photos, Videos, and Media Use
During trips, our team may take photos or videos for documentation, memories, or promotional purposes. By joining our trip, clients agree that Tailor Made Trip may use such photos or videos on our website, social media, brochures, or marketing materials unless the client informs us in writing that they do not consent.
We respect privacy and will not intentionally use sensitive, inappropriate, or private images without permission.
23. Privacy and Data Protection
Tailor Made Trip collects personal information required for inquiry, booking, permits, travel arrangements, communication, payment processing, and service delivery.
We will handle personal information responsibly and will not sell personal data to third parties. Personal data may be shared with hotels, airlines, government offices, transport providers, guides, permit authorities, and other service providers only when necessary to operate the trip.

24. Website Use

25. Limitation of Liability
Tailor Made Trip will not be liable for injury, loss, damage, delay, additional expense, inconvenience, or disappointment caused by events beyond our reasonable control, including but not limited to weather, natural disasters, strikes, political unrest, flight cancellation, road blockage, illness, accidents, government actions, or third-party supplier failure.
Our liability, where legally applicable, is limited to the amount paid to Tailor Made Trip for the specific service affected.
26. Force Majeure
Tailor Made Trip shall not be responsible for failure or delay in performance caused by force majeure events, including natural disasters, pandemic, epidemic, war, terrorism, civil unrest, government restrictions, strikes, extreme weather, airport closure, landslides, avalanches, or any event beyond our control.
In such cases, we will make reasonable efforts to provide alternatives, postpone services, or coordinate with suppliers, but refunds will depend on supplier policies and recoverable costs.
